Thomson Reuters released EndNote® X7.3.1 for Win and Mac
Dear EndNote Site licensees,
Here is our latest newsletter chock-full news. We start with the known download instructions. Then we continue with some highlights and new features of EndNote Desktop, Online and the (free) EndNote iPad version. We will close the newsletter with a request and some thoughts regarding the end-user usage at your organization, so please keep on reading.
EndNote® X7.3.1 Desktop for both Windows and Mac is available at our download portal. There is no separate X7.3.1 distribution since X7.3.1 was a bug fix release. The current download X7.3 is the latest edition including the patch release. After login, please go to the 'Files' menu. With the labels at the top of the page you can select version X7.3 (click term) or unselect (click term again). Now you will see an overview of available files and below the files a serial number and product key for your organization. In case you forgot your password: There is a password reset link available at our download portal. ATTENTION: Starting with version X7 there will be only one product key needed for both Windows and Mac. IMPORTANT: The EndNote files require special handling (5-10 minutes work) before the files can be distributed to the end users. The special handling instructions, to create the end user distributions, are available in the PDF instruction files:
Please see our web site for a complete overview of new features and changes. If there is an older version of EndNote in use at your organization this might be the right moment to switch to EndNote X7.3.1 and let your users benefit of new features and compatibilities. Conversion of Reference Manager databases to EndNote libraries can be done with a few mouse clicks.

Observations and request
Although a majority of our site licensees has an 'All Inclusive' Agreement covering students, employees, on- and off-site usage, this message seems to be unknown at the end-user level of some organizations. End-users contact us frequently with questions like 'Where can I download EndNote for organization X?', 'Is it free for me or should I pay a fee and how much is the license fee?', 'Who should I contact within my organization to ask questions about obtaining a license and downloading the software?'.
We also receive questions from our Site license contacts. The most frequently asked questions seem to be: 'Are the students and off-site ('home') usage included?' and 'How do we distribute your software for off-site usage without any Legal infringements?'.
The first issue described above can only be solved with some improved communication. Since we do not have end-user contact details, it is almost impossible for us to update your end-users directly. We have worked hard to implement a (SAML compatible) authentication platform to communicate directly with the Surf(conext) federation. This new feature would allow us to recognize your end users (student/employee coming from organization X). From there, we would then be able to present them the right (free) downloads and licenses. For other organizations or Consortia we are thinking very hard on how to offer a similar solution. Another possible simple solution: We would like to offer you some plain html text that could be copied and pasted to your (Library) web pages. This page would list some distribution, license and support related notes. Last but not least: A request to you to think about the raised matter and to consider a well thought plan on how the communication to the end-user could be (re)initiated or improved. If you already have a work flow and contacts in place at the ICT department or Library, please let us also know. With the information you send us, we might be better able to reroute the end-user questions to the right persons or department(s) at your organization.
Regarding the second issue. Please consult the Agreement or ask us whether off-site and/or Student usage is included in the Agreement. The Agreements with the ANKOS consortium and SurfMarket both are 'All inclusive'. If the end-user files for distribution have been created and you would like to distribute the software (download file and included license) to the end-users for off-site usage via a 'for others closed section' (students/employees/visitors outside your organization), it would be sufficient to add a few lines (a message to the end-user), to the software download page. The message would then look a bit like the following text: 'The distribution of the software download and license to third parties is strictly forbidden else you will be responsible for any Lawsuits. You may use the software and license solely for your work related to Organization X. You would need to uninstall the product from your private pc's and devices or obtain a personal license in case your study or employment Agreement with Organization X ends and/or if Organization X ends the Site License Agreement for the product'.
Regarding both mentioned issues, we welcome your comments and remarks and would be more than happy to hear your thoughts. If you somehow encounter problems regarding the preparation of the end-user distribution files, please see the PDF-instructions mentioned at the top, or else, please contact us. We're here to help.
Apologizes for the lengthy newsletter. If you made it up to here (reading), chapeau and merci!
Kind regards,
